Platform Features

Every tool your branded merchandise operation actually needs

Three inventory types, one ordering workflow, complete brand and compliance control. Built for promotional-product producers and the industrial customers they serve.

01 / 04

Inventory Management

Track durable assets by location, consumable supplies by quantity, and employee issuances by name — all three in one platform, not three separate spreadsheets.

Asset tracking with unique QR codes

Every durable item — roll-up banner, branded flag, exhibition pylon — gets its own 10-character scan code. Employees report a move, damage, or loss by scanning with their phone. No portal login required. The asset record updates immediately.

Supply reorder thresholds that act automatically

Set a minimum stock level per article per location. When branded pens, PPE kits, or brochure stacks fall below that threshold, iVentory generates a reorder signal. One click and the request goes to the producer — no manual count required.

Named-employee issuance with size data

The embroidered polo assigned to Jana Müller, Branch Hamburg, size M, on 2024-03-01 — that record lives in iVentory, not in HR's inbox. Every issuance is timestamped, searchable, and exportable for cost-center billing.

Branch-level stock counts in real time

See exactly how many units of every article are at every location right now. No calling the branch. No waiting for a weekly report. When one location runs short while another sits on surplus, the dashboard shows both sides at once.

Recall workflow when designs change

After a rebrand, every unit of the affected article — Assets by physical location, Supplies by stock count, Issuances by employee — gets flagged and locked from reorder automatically. The retrieval sequence starts without a single manual spreadsheet update.

Wear-alert for garment replacement cycles

Configure expected service life per article. When a garment reaches its replacement window, the relevant employee and branch manager receive an alert. Replacement orders can be pre-staged and approved before the item is actually worn out.

02 / 04

Ordering and Fulfillment

From catalog browse to approved purchase order, with multi-address branch splits, scope-controlled pricing, and a promotional product configurator that replaces back-and-forth emails.

Catalog browsing and cart for industrial customers

Your industrial customers see only the articles you have activated for their account — correct colors, correct sizes, correct pricing. They add items to a cart, submit the order, and the producer receives a clean, structured request. No email thread required.

Branch split across multiple delivery addresses

One purchase order, many destinations. iVentory allocates quantities to each branch based on configured quotas and generates separate delivery documents per address. The ordering manager submits once; the warehouse ships to 20 locations without intervention.

Approval workflows before orders reach production

Set up a one-step or two-step approval chain for orders above a value threshold. A branch submits, a regional manager approves, production receives the confirmed order. Every approval is logged with the name, timestamp, and the version of the order they saw.

Customer-scope price overrides

Different customers see different prices for the same article — without duplicate catalog entries. Set a base price at the article level and a customer-specific override that applies silently. Volume brackets and promotional pricing work the same way.

Promotional product configurator with live preview

Your customer selects a product, picks a color, and sees the mockup image update to reflect their choice. When designs are ready, they see the finished version — their logo on the item, in their configured color. Fewer back-and-forth emails before production starts.

Reorder hints inside inventory views

When a supply item approaches its reorder threshold, the inventory view surfaces a reorder hint directly alongside the stock count. The customer acts on the signal in the same screen where they noticed the shortfall — no separate reorder form to find.

03 / 04

Brand and Production

White-label portal under your own domain, production-ready PDF output for the workshop, design version control, and multi-language support — so your operation looks as professional as the brands you serve.

White-label portal under your own domain

Your customers log into your brand, at your URL, with your logo in the header. iVentory runs the infrastructure; the customer never sees our name unless you choose to show it. Every reseller's portal is completely isolated from every other's — no accidental cross-leak.

Operator branding for franchise operations

Franchise operators configure a store name or branch text once. That identifier is applied automatically to every ordered item without the ordering manager typing it per order. Consistent application across 50 outlets, no manual entry.

Production sheet PDF for the workshop

Every confirmed order generates a structured production PDF — article specs, print areas, color codes, quantity per size, delivery address, and the approved design file. The workshop receives everything they need in one document, not assembled from three different email attachments.

Design version locking after approval

Once a design is approved and production starts, iVentory locks that version. New orders reference the locked design — not a file someone updated in a shared folder. When a new design version is released, old stock can be flagged for phased recall.

Multi-language platform — English and German today

The customer portal is fully translated into English and German. Each user chooses their language on first login and can switch at any time. Additional languages are on the roadmap for international resellers serving non-German industrial customers.

Module activation — pay only for what you use

Activate only the feature modules your operation needs. A solo embroidery shop can run with inventory and ordering. A larger agency adds compliance and analytics modules as client needs grow. Unactivated modules show an internal upsell page, never a broken screen.

04 / 04

Compliance and Reporting

GoBD audit trail, EAA-compliant UI, CSRD scope-3 reporting, NIS2 access controls, and a dedicated pharma vertical — compliance built in from day one, not retrofitted later.

GoBD-compliant audit trail on every action

Every order, every status change, every recall event, every price override — timestamped, attributed to a named user, and stored in a tamper-resistant log. Your auditor receives a PDF export. Not a screenshot of a spreadsheet, not a reconstructed email chain.

EAA and WCAG 2.1 AA baseline on day one

The customer-facing portal meets the European Accessibility Act baseline from the moment your industrial customer logs in. This is not a future roadmap item — it is the build standard for every screen. Your legal team does not need to commission a remediation audit.

NIS2 access controls and incident logging

The NIS2 module adds role-based access with documented permission changes, a supplier security scoring view, and an incident log that satisfies article 21 reporting requirements. Available as a Stream B+ add-on; ask your reseller to activate it.

CSRD scope-3 reporting for branded merchandise

Your annual sustainability report needs to account for promotional goods spend. iVentory collects the supplier and quantity data automatically across all orders. The CSRD reporting module, on the roadmap for 2027, exports a ready-to-submit Scope-3 data set without manual collection from five suppliers.

eIDAS-qualified signatures for high-value handoffs

Electronic delivery receipts and qualified signatures on high-value promotional item handoffs — legally valid across the EU. The eIDAS module is planned for Q4; industrial customers in sectors requiring documented chain-of-custody can request early access.

Pharma vertical — FSA, EFPIA, and GxP compliance

Pharmaceutical and medtech companies track every sample and promotional item against FSA-Kodex and EFPIA disclosure thresholds. The pharma module records recipient, item value, and date, and exports the annual disclosure data set. GxP validation documentation is available as a one-time service for regulated environments. At a fraction of the cost of legacy platforms.
